The International Food Policy Research Institute (IFPRI)
seeks a qualified candidate to serve as an Administrative and Finance
Assistant for its Kampala office under a one-year, fixed-term, renewable
appointment.
The employee will report to the Head of Office of
IFPRI-Kampala and work under the joint supervision of the Head of Office and
the Office Administrator.
Responsibilities:
The employee will be assisting the Office Administrator in
all aspects
of the administration of the office. This includes, but is
not limited to:
Administration:
• Collecting, checking, registering and keeping track of all
order forms, incoming & outgoing invoices and travel claims.
• Typing correspondence, formatting and editing reports and
letters.
• Performing administrative work and maintaining office
files and other confidential records.
• Assisting in day-to-day office & facilities
management.
• Assist in over seeing the use and maintenance of the
office equipment and assets including the photocopier, computers, vehicles to
ensure that they are in good working condition.
• Assists and manages hotel reservation, local and
international travels for IFPRI visitors and staff.
Finance:
• Performing cashier functions (disbursements, entering cash
receipts etc.).
• Assisting in the preparation of financial reports, payroll
and payments
• Assisting in the preparation of monthly estimate of the
office operational funds.
• Assisting with bank reconciliations.
• Filing financial documents and records.
• Assist the Office Administrator with tracking travel
advances.
• Assists with updating the office Inventory system
• Working in collaboration with the headquarter-based
Financial Services team when need arises.
• Assisting the Head of Office and the Office Administrator
with other tasks as needed.
Required qualifications, skills and experience:
• Bachelor’s Degree, preferably in Business Administration,
Accounting, or Finance.
• Five years of Finance and administration experience in a
multinational commercial organization, an international institution or a
multinational NGO.
• Sound working knowledge on financial management
• Must be fluent in written and spoken English and a good communicator.
• Strong Microsoft Office software skills, experience with
QuickBooks is a plus
• Excellent attention to details, able to multi-task and
resistant to stress.
• Ability to function independently within an established
administrative framework, while keeping others informed.
• Demonstration of ability to pro-actively solve
administrative problems within this framework.
• Ability to work effectively as a member of a
multi-disciplinary and multi-cultural team.
