Administration and support department assistant vacancy-Jobs in Uganda


Post Title:ADMINISTRATION & SUPPORT DEPARTMENT ASSISTANT

Country:Uganda
Location: Kampala and mobilized to the Lake Albert region, other construction sites or other cities as required.
Primary Function: Provides full scope Administrative and Secretarial support to the Department Manager and staff.


Responsibilities:
             Prepares              drafts    and        final       written                 business
correspondence such as letters, memoranda, meeting minutes, tables and charts using computer graphics, spreadsheets and word processing.
             Manages departmental incoming/outgoing letters, faxes, mails etc.
             Maintains confidentiality of personnel issues and all data of confidential nature.

             I nteracts with all levels and a variety of employees and management. Answers and screens telephone calls for Department Manager, relays messages, researches inquiries, follows through on responses; Pickup and distribute mail and correspondences.
             Maintains Department filing system,      including
Department files, purchase files and contract files, vendor catalog and data, Legal documents etc. Periodically reviews and purges of old files as per the established procedure.

             Generates Department Weekly and Monthly Reports and In/Out Reports, prepares charts and reports on a monthly, quarterly and annually basis.


             Maintains company stationery and office supply inventory.
             Coordinates meeting and travel arrangements, maintains schedule of appointments,
             Performs other duties as required by Department Manager as necessary.


Requirements:
             Bachelor's Degree or above in Business Administration or Accounting Education or the related.
             Minimum 3 years related working experience.


Knowledge:
             Excellent calendar management skills, including the coordination of complex executive meetings.
             Experience in assisting management with the creation of PowerPoint presentations.
             Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook.
             Experience scheduling travel arrangements for management.
             Understanding of oil E & P.
