Job purpose:
Provide strategic input for all admissions-related activities from the
point of initial contact (inquiries) through graduation.
These include;
recruitment, preparing admission materials, policies and procedures,
maintaining updated demographic and statistical data and managing student
registration and records.
Key Duties & Responsibilities
a) Recruitment and Admissions
i. Recruitment process
·
Set prospective student
communication plan from the point of initial contact through admission.
·
Direct and implement a strategic
marketing plan, jointly, with the Public relations office and Deans of Faculty.
·
Represent UCU at recruitment and
other marketing events.
·
Develop strategies for involving
alumni and current students in the recruitment process.
·
Manage and execute a recruitment
portfolio (including preparation, travel, fairs, one to one events, talking to
school administrators where prospective students come, Info sessions,
follow-up, open days etc.)
·
Ensure proper channels of
response to applicants’ queries and/or prospective students.
ii. Admission Process
·
Ensure that the National Council
for Higher Education standards in the admission criteria are adhered to.
·
Determine policies and procedures
for student admissions working within the University guidelines.
·
Establish and plan pre-screening
and testing procedures in consultation with the Deans of Faculty and school of
graduate studies to ensure a neat interview process.
·
Managing all assessment
activities, including reading of applications, management of shortlist and
admission analysis.
·
Assists in the development and
interpretation of admissions, choice enrolment and student record policies and
procedures to ensure effectiveness.
iii. Benchmarking, Research and
Assessment
·
Track and analyze effectiveness
of marketing initiatives and activities.
·
Benchmark UCU recruiting activities
with other universities in and out of Uganda.
·
Complete a thorough analysis of
all admission activities with an eye towards implementing better effective and
efficient activities.
·
Formulate strategies that
identify additional ways to reach target group and engage in Research so as to
better the recruitment and admission process
iv. Publications and Marketing
Communication
·
Oversee development of all
marketing materials and student recruitment publications in consultation with
the Deans and the Public Relations office.
·
Manage subcontracted agencies and
vendors as necessary (e.g. printing, documentaries and website )
·
Provide input for all centrally
planned marketing materials (e.g. brochures, applications, web site).
·
Develop and provide admission and
registration information through presentations and publications.
v. Budget and Staff Management
·
Develop, manage and adhere to the
admissions department budget and, in the process, produce accurate forecasting
of needs.
·
Provide input into tuition
setting and provide data to the university on income estimates.
·
Supervise employees.
·
Supervise, manage, evaluate,
participate in the selection of regular and temporary Admissions and Registration personnel
·
Ensure and monitor high-service
levels and provides corrective action whenever required.
b) Data Management and Student
Records
Implement the development of
processes using technology that supports and enhances established goals, reporting
needs and database management.
Direct and supervise staff to
establish systems that ensure data integrity.
Prepares reports, analyzes data
and investigates options regarding student admissions. Presents data to the
Admissions Board to assist in admissions
c) Registration
·
Develop, execute, and assess
office policies, procedures and data processing systems of the registration
Office.
·
Draws out schedules for induction
and orientation of students.
·
Ensure the smooth coordination of
registration processes for new and continuing students.
·
Present the university with
studies, reports, and analyses of admissions and registration records as
requested.
·
Oversees the processing and
issuing of student identity cards
·
Attend conventions, meetings, and
conferences as necessary to maintain knowledge of existing and new admissions
and recruiting policies, practices, and procedures.
d) Campus/University Service
Serve on a various campus and
system committee’s e.g Quality Assurance Committee, Senate (minute recorder),
Academic Management Committee, Admissions Committee and different task forces
as assigned.
Contribute to faculty and
university –wide committees as requested, and actively follow and promote UCU
mission, Values and policies.
Perform any other official duties
as may be assigned by the Supervisor.
Preferred Skills:
Qualifications and Experience
This is a senior position in any institution of higher learning and must be
held by a person who has the following;

Master’s Masters Degree in Education and any
Management related degree from a recognized Institute of Higher Education
·
A
good Bachelor’s degree in a related field from a recognised Institute of
Higher Education
·
At least five (5) years of
successful University – Level experience in admissions, records, and
registration management.
·
Must have taught at University
level for at least three (3)
·
A Doctorate is highly desirable
but an identified and approved plan for doctoral work within two years is
acceptable.
·
Strong collaborative,
interpersonal, written, and oral communication skills.
·
Analytical, multi-tasking,
organizational and time management skills
·
Ability to display tact and
diplomacy when assisting customers
·
Excellent organizational skills,
detail oriented, and the ability to work independently.
·
Ability to work under pressure
and manage multiple concurrent and conflicting priorities and deadlines.
·
Experience in the use of
analytics as a part of a comprehensive admissions strategic plan and
accountability.
·
An understanding of higher
education academic context is a plus
·
Should be a committed Mature
Christian who subscribes to the instrument of identity of Uganda Christian
University.
