Background
Information:
The
USAID-funded Uganda IRS Phase II Project's objective is to conduct a
comprehensive spraying
program and establish the foundation for sustainable,
effective, high-quality indoor residual spraying (IRS) activities. Under the
supervision of the Deputy Chief of Party, the Logistics Manager will ensure
efficient and effective management of all logistics related to IRS.
Duties and
Responsibilities:
Manages
stock/supply levels and determines critical reorder/resupply levels for each
item Assures the follow-up of supply activities, of warehousing and
distribution, of upstream and downstream transportation
Guides,
supervises, and work closely with Storekeepers and Store Managers to quantify
supplies, identify shortages and resolve shortage related issues
• In conjunction with respective
Store Managers and Field Coordinators, provides training to sub-county/parish
level storekeepers
• Ensures that proper records are
maintained on all incoming and outgoing items/supplies
• Ensures that inventory levels are
conducted quarterly and a detailed report submitted to management-. Provides
ad-hoc reports as requested.
• Ensure all store health and safety
measures are in place and followed diligently Works with the project's
Environmental Compliance Officer to ensure proper clearance and disposal of all
waste material from the stores
• In collaboration with the Field
Coordinators and Procurement Officer, prepares procurement plan of all supplies
for upcoming spray rounds
• Conducts regular checks of all
spraying equipment to ensure that they
are in good condition and that sufficient stocks of spare parts are on hand for
any repairs as may be required.
• Safeguards warehouse operations and
contents by establishing and monitoring security procedures and protocols.
• Motivates, organizes and encourages
teamwork to ensure proper logistics management.
• Oversees the planned maintenance of
project vehicles and ensures their effective and efficient usage (hired &
owned) performs any other assigned duties necessary for the proper functioning
of the logistics department and the project.
Qualification
requirements include the following:

Bachelors Degree in Logistics/Transport Management or Business
Administration Masters degree is an advantage
·
Warehouse and logistics management skills in a rapidly changing
environment
·
At least 8 years of experience in similar position in an international
organization, preferably in humanitarian logistics
·
Demonstrated experience in donor -funded projects preferred
·
Demonstrated ability to lead and manage staff and logistics teams
·
Demonstrated ability to work independently, use sound judgment and
strong analytical skills Excellent inter-personal comminications skills and
organization skills
·
Knowledge of FAR/AIDAR is an added advantage.

Position: Project Assistant

occasional travel to other project areas Care
Job Purpose:
Supports
operations, Monitoring & Evaluation, Finance & Administration teams and
Senior Management Team in drafting regular reports, following with district
officials reports and payments for effective and timely delivery of service .
Background

supervision of the Deputy Chief of Party, the Logistics Manager will ensure
efficient and effective management of all logistics related to IRS.
Duties and
responsibilities:
1. Assists the Senior Management Team
in coordinating the planning and execution of the work of the technical and
administrative staff through:
·
Preparing the spray cycle schedule, disseminating to the relevant
departments and following up to ensure completion of the action items
identified in the schedule.
·
Preparing and disseminating monthly operational projections in close
collaboration with the DCOP and Senior Management Team.
·
Working with technical staff to define the logistics and
administrative support needs for upcoming training events, workshops and
conferences, well in advance of the events and coordinating with the Finance
Manager to ensure these needs are met.
·
Coordinating the logistics and district payments related to IRS
activities,
·
by preparing payment requests for the spray activities including
confirming number of persons involved in the various activities.
·
Ensuring that all the spray activity reports are collated and shared
among staff for input before being summarized into end of spray report,
·
assist in drafting of the monthly progress summary reports for USAID,
clearly spelling out accomplishments, lessons learned and challenges for each
technical area as well as Coordinating the compilation of weekly activity
reports from the information provided by the field staff and disseminating to
staff as appropriate
1. Coordinate activities for the annual
work plan development process and assists with the compilation and formatting
of the final copy.
2. Organize, facilitate and document
staff meetings, client and counterpart meetings as appropriate
3. Coordinate the process of preparing
technical reports by receiving sectional or individual drafts, collating them
into one draft and ensuring that the contributors make further input/edits
before the final draft copy is produced.
4. Assist with coordination of
development of scope of work, recruitment and logistics for local and
international consultants and provides or arranges support to enable
consultants to accomplish their work (includes developing schedules, organizing
meetings & site visits, briefing, introduction to key people and travel
arrangements)
5. Coordinate with Home Office to
obtain clearance for travelers, purchase of tickets and arrangement of ground
travel.
6. Collect, register and maintain
information on project activities by reviewing reports and through first hand sources,

Person Specifications:
·
University degree in Business Administration, Social Sciences, Public
Administration or other relevant qualifications
·
At least three (3) years practical experience in similar position in
international organizations/development projects in Uganda or elsewhere
·
Excellent reporting and writing skills and fluency in English a must
·
Computer skills, strong knowledge of MS Word, Excel, PowerPoint,
e-mail and Internet is necessary
·
Knowledge of
